PROBLEM
With circa a hundred rounding sessions per month, our frontline leaders are engaging with staff and learning firsthand information needed to strengthen team performance and achieve greater success. This effort is captured by hand on a piece of paper and returned to the Chief Nurse at the end of the rounding. Notes are often abbreviated and calligraphy is hard to read. Transferring the comments into digital format, without misunderstanding its true meaning, is labor-intensive and requires constant follow up.


SOLUTION
Automate the R. T. I program by identifying low, medium, and high effort solutions. To be successful, the rounding needs to achieve two things:

1. Acquire clear and actionable data that allows for immediate resolution of identified problems: equipment problems, staff morale issues, patients concerns, and environment safety matters.

2. Provide data aggregation for reporting and trend-analysis. To be actionable, the data needs to be connected to our internal workflows. To be available for reporting, it needs to be structured logically.


MY ROLE
Reach out to both clinical and operational stakeholders to understand process, goals, and pain points. Devise plan to optimize the RTI process.
1. Process began with discovery phase to build the Journey Map of Rounding to Influence. Approach included: one-on-one interviews and observational studies of leaders rounding, to help me validate the journey map from the starting point of defining financial incentives, to collecting and organizing feedback, prioritizing interventions, and monitoring task management, up to reporting on results.
2. Evaluated in-house solutions while partnering with Strategic Team to evaluated third-party tools.
3. Worked closely with Healthcare Technology and Facilities Management to mock-up a mobile-web page using our internal work order system, TMS.
4. Provided expertise in criteria-based assessment of software tools in a series of vendors interviews to evaluate market solutions.
OUTCOME
Adopted in-house TMS reporting tool to improve collection and reporting of data while company negotiated the purchase of a new risk management/patient safety system that supports both iOS and Android devices.
